Direct Electronic Communication with Students

The Letcher County Schools, per KRS 160.145, have approved four systems for direct electronic communications from staff and volunteers to students. Those four systems are:

  1. M365 (Microsoft 365 Applications to include School Email)

  2. Google Workspace for Education (Google Applications to include Google Classroom)

  3. Infinite Campus

  4. ParentSquare

As part of KRS 160.145, parents can request reports of direct electronic communications between staff/volunteers and students. This request must be in writing and signed by the requesting parent. Requests may be submitted to the office at each school.

There are two exceptions to KRS 160.145. First, other means of direct personnel communication can occur between staff/volunteers and students if the staff member or volunteer are family members of the student. Family members are defined as parent, brother, sister, son, daughter, aunt, uncle, or grandparent. Second, a waiver form may be completed by a parent/legal guardian to allow other means of direct electronic communications. Waivers are available in the office of each school, or by clicking here to download the board approved form. Blanket waivers are not allowed. There must be a separate waiver form completed and submitted to the office of the school for each adult that would communicate with a single student.

ParentSquare is a new product for Letcher County Schools that allows several methods of communication to staff, parents, students, and community members. ParentSquare will be our primary means of direct communication. ParentSquare will also become our notification tool for important information such as school closing and delays, as well as other important information that might be shared by the schools.

For ParentSquare to work the best, both students and staff need updated contact information on file in the office at the school. Notification from the ParentSquare system can be delivered to the ParentSquare web application, the iOS or Android ParentSquare App, SMS text message, email, and phone call, if the importance is great enough. Invites will be sent out to parents within a few days of the start of school. If a parent has their cell phone number on file at the school, the invite might come as an SMS text message. If a parent has an email on file, then the invite could come as an email also. If you do not receive an invite, you can simply navigate to the ParentSquare login page and register or click the Forgot Password link to activate your account. You may also download the mobile app directly from that website by scanning the appropriate QR code.

All communication in ParentSquare from a staff member or volunteer and a student can be viewed by the parent within the web application or the phone applications. Parents simply click or tap on the students name and then click or tap view communication. Parents only need one single app and they will be able to access each student they have enrolled by simply clicking the student switcher drop down at the top left and choosing a different child.
